At Alcyon, we take the protection of your personal information seriously. This policy explains in clear terms what information we collect, why, how it's used and protected, and what your rights are.
This policy is compliant with Quebec's Act respecting the protection of personal information in the private sector (Law 25) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who is responsible for your information
Alcyon Sel de Mer Inc. is the company that collects and uses your personal information. Our head office is at 27 chemin des Buttes, Havre-aux-Maisons, Quebec G4T 5L4.
The person responsible for the protection of personal information at Alcyon is Joëlle Arseneau, co-founder. For any question, request, or complaint regarding your personal information, you can reach her at info@alcyonsel.com.
2. What information we collect
Depending on the context (purchase, subscription, newsletter, contact form, browsing), we may collect the following information:
Information you provide directly:
first and last name
delivery and billing address
email address
phone number (when requested for delivery)
payment method (processed by Shopify Payments, never stored by us)
order contents
subscription preferences (frequency, products)
messages and photos you send us
Information collected automatically when you browse alcyonsel.com:
IP address
browser type, operating system, language
pages visited, time spent, source of visit
cookies and similar identifiers (see section 7)
We do not knowingly collect information from children under 14.
3. Why we collect this information
We use your personal information for the following purposes only:
Processing your orders: preparing, shipping, invoicing, keeping you informed of your order's progress, handling returns and claims.
Managing your customer account and subscriptions: creating and maintaining your customer space, handling automatic renewals, allowing you to update your information.
Communicating with you: replying to your messages, sending order and shipping confirmations, and sending marketing communications if you've consented to them (newsletter, promotions).
Improving our site and our products: analyzing browsing behaviour to improve the shopping experience, understanding which products interest our customers, identifying bugs and technical issues.
Meeting our legal obligations: keeping our accounting and tax records, responding to authorities, preventing fraud.
We do not use your information for other purposes without informing you and obtaining your consent.
4. With whom we share your information
We never sell your personal information. We share it only with the suppliers and partners necessary to our operations, and only for the purposes described above.
Our main service providers:
Shopify Inc.: e-commerce platform that hosts alcyonsel.com and processes payments through Shopify Payments. Shopify may process and store your information in the United States and Canada.
Klaviyo: platform for sending newsletters and marketing emails. Klaviyo processes and stores your information in the United States.
Canada Post and other carriers: for the delivery of your orders (your name and delivery address are shared with them).
Google (Google Analytics): statistical analysis of site traffic. Google processes this data in the United States.
Meta (Facebook, Instagram): if you've accepted marketing cookies, certain browsing data may be shared to measure the effectiveness of our ads. Meta processes this data in the United States.
Professional advisors: our accountants, legal advisors, or consultants, when needed to run our business. They are bound by confidentiality.
Legal authorities: if required by law (warrant, court order, tax investigation, etc.).
5. Transfer of information outside Quebec
Several of our suppliers (Shopify, Klaviyo, Google, Meta) process or store your information outside Quebec, mainly in the United States and English Canada. These jurisdictions may have different protection rules from Quebec, but all our suppliers are recognized companies that apply high security standards.
We regularly assess our suppliers to make sure they offer adequate protection of your information. For any question about these transfers, write to us at info@alcyonsel.com.
6. How long we keep your information
We keep your information for as long as necessary for the purposes described above, and according to legal requirements. As a guideline:
Order data: 7 years (Canadian tax obligation).
Customer account: as long as your account is active. If you delete it, the associated data is removed within a reasonable timeframe, except for what we must keep for tax or legal reasons.
Newsletter subscription: as long as you're subscribed. If you unsubscribe, your address is kept on a suppression list to make sure we don't write to you again.
Browsing data: generally 14 months (standard Google Analytics duration).
Once these periods end, your information is deleted or anonymized.
7. Cookies and similar technologies
Our site uses cookies, that is, small files placed on your device to ensure the site works properly and to measure its use. We use three types of cookies:
Essential cookies: necessary for the site to function (cart, login session, security). They cannot be disabled.
Analytical cookies: help us understand how our site is used (Google Analytics, for example). They do not allow us to identify you personally.
Marketing cookies: allow us to measure the effectiveness of our ads on Facebook, Instagram, and Google, and sometimes to show you relevant ads on other sites.
On your first visit, a banner allows you to accept, refuse, or customize non-essential cookies. You can change your preferences at any time by clicking the "Cookie settings" link at the bottom of our site.
You can also manage or block cookies directly in your browser settings.
8. Security of your information
We put reasonable technical and organizational measures in place to protect your information against unauthorized access, loss, alteration, or disclosure. This includes encryption of transactions by Shopify Payments, limited access to personal information within our team, and the use of providers recognized for the security of their services.
No system is foolproof. In the event of a privacy incident affecting your personal information, we'll notify you without delay if the incident presents a serious risk of harm, in accordance with the law.
9. Your rights
You have several rights regarding your personal information. You can:
Access your information: request to see the information we hold about you.
Have your information corrected: ask us to correct inaccurate or incomplete information.
Withdraw your consent: at any time, for uses based on your consent (newsletter, marketing cookies, etc.). Withdrawal does not have retroactive effect.
Request portability of your information: receive your information in a structured, machine-readable format, or ask that it be transferred to another organization (since September 22, 2024).
Request the cessation of dissemination or de-indexing: in certain circumstances provided by Law 25.
File a complaint: with our privacy officer, or with the Commission d'accès à l'information du Québec (cai.gouv.qc.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
To exercise any of these rights, write to info@alcyonsel.com specifying your request. We will respond within a maximum of 30 days. To verify your identity, we may ask you to confirm certain information.
10. Automated decisions
We do not use any fully automated decision-making system that has significant effects on you (for example, the approval or refusal of an order based solely on an algorithm). If this were to change, we would update this policy and inform you.
11. Changes to this policy
We may update this policy from time to time, to reflect changes in our practices, in the law, or in our tools. The version in effect is always the one posted on this page, with the update date at the top. In case of significant change, we'll inform you by email or through a clearly visible notice on our site.
